From client yes to first invoice: a lightweight Notion checklist for solo freelancers

You got the yes. Congrats. Now comes the awkward part: turning that yes into a clean kickoff, a scoped deliverable, and an invoice that actually gets paid — without spending half a day reinventing your process. Steal this freely.

The gap most freelancers underestimate

Sales energy fades fast. After the client agrees, people often:

Day-of checklist (copy into Notion)

1) Capture the yes (2 minutes)

Create one Client row and one Project row:

Keep statuses boring: Active, Waiting on payment, Archive.

2) Run a lightweight intake (10–15 minutes)

Ask only what changes the quote or the plan:

If an answer is fuzzy, stop and clarify before you open Figma or VS Code.

3) Write scope as in / out / later (10 minutes)

Three short lists beat a long proposal:

Send this back for a one-line confirmation (“Looks good”) so “one more thing” has somewhere to go besides your unpaid hours.

4) Send a kickoff email with edges (5 minutes)

A useful kickoff email usually includes:

  1. Confirmed deliverable + fee
  2. Timeline and next checkpoint
  3. What you need from them this week
  4. How feedback rounds work
  5. How invoicing works (deposit / milestone / net terms)

Keep it short. Links to a shared Notion page beat a wall of paragraphs.

5) Log the invoice before you forget (2 minutes)

In an Invoice log:

When status flips to Waiting on payment, your brain can leave the chase alone until the reminder date.

6) Use polite nudges, not panic (as needed)

Write these once. Reuse them. Tired freelancers write worse follow-ups.

Optional: AI prompts that stay useful

Prompts help when they use placeholders, not vibes. Examples:

Always edit before sending. Clients can tell when a message was never read by a human.

What you can ignore (on purpose)

For one active client at a time, you probably do not need a full CRM pipeline, automated proposals with e-sign on day one, or a “business OS” with dashboards you never open. Start with tracker + intake + scope + kickoff + invoice log. Add tools only when the checklist breaks.
