Freelance kickoff email template you can send the same day
After a client says yes, a vague “excited to start!” email creates Slack chaos. Use this short kickoff instead: confirm scope, access, timeline, and when the first invoice goes out.
What a good kickoff must lock in
- Scope in / out / later — one sentence each is enough
- Access & owners — who sends brand assets, logins, feedback
- Cadence — when you check in, and what “done” looks like this week
- Money clarity — deposit / first invoice date (without sounding awkward)
Copy-paste kickoff email
Subject: Kickoff — {Project name} (scope + next steps)
Hi {Client name},
Thanks again for the green light on {Project name}. Here’s how we’ll start cleanly:
Scope this phase
• In: {deliverable 1}, {deliverable 2}
• Out: {thing you are not doing}
• Later (optional): {nice-to-have}
What I need from you by {date}
• {asset / access / decision}
How we’ll work
• Check-ins: {e.g. short update every Tue/Thu}
• Feedback: {one owner + 48h turnaround if possible}
First invoice
I’ll send {deposit / first invoice} on {date} for €{amount}, with payment terms {Net X}.
If anything above looks off, reply with edits and I’ll revise before I dig in.
Talk soon,
{Your name}
Quick tips
- Send this before you open Figma or write code.
- Keep “Out” and “Later” visible — that’s where scope creep hides.
- One owner for feedback beats a 12-person CC.
